now handle it themselves
Thursday afternoon, just before the holidays. An e-mail from a regular client: “Can you still fit these seven people in for a BHV refresher? Any date, as soon as possible.” Below it, seven names, two without a surname. (BHV is the Dutch in-house emergency response training.)
I e-mail back which dates there are. They e-mail back which date works. I book them in, send a confirmation, and ask for the dates of birth for the certificates. Four e-mails and a day and a half, for something that client could perfectly well have done themselves.
For your regular business clients, your partners, that's no longer needed. We've extended the partner portal considerably over the past weeks. Three things, and all three take work out of your inbox.
They book straight onto your session
The partner portal now has Book directly. The client picks a course, sees your planned sessions with date, venue and the number of free seats, ticks which employees are taking part, and registers them. The registration is final straight away. No request landing on your desk, no reply for you to type.
The price is calculated live, including the partner discount you agreed with that client. And invoicing runs the way you've set it up: straight away, or only afterwards based on who actually attended. In that second case you don't pay for no-shows.
Is the date they want not in your schedule yet? Then the client requests it, as before, and you step in to plan it. Booking directly is for what's already there. The rest simply runs through a request.
Colleagues get their own login
One contact person per company didn't work in practice. The safety coordinator books, the invoice has to go to accounts, and HR wants to look along too. So people shared login details, or that one contact forwarded everything by hand.
Now the client manages their own accounts. Adding a colleague is a name and an e-mail address; that person gets their own login link. Each account has a switch for notifications, so the invoice reaches accounts and not everyone. When someone no longer works with it, you set the account to inactive. All without you having to create a new user.
The confirmation now also comes via WhatsApp
A confirmation by e-mail disappears in a full inbox. That's why the participant can now choose to get it via WhatsApp as well. One tick when booking. The message contains the course, date, time and address, plus the QR code for attendance registration on the day itself.
Only to participants who have given consent. Opting out is always possible.
A message on the phone gets read. That cuts no-shows, and it saves you the “where was I supposed to be again?” phone calls on the morning of the course.
Less back and forth, the same overview
It keeps coming down to the same thing: work your client can do themselves, you let your client do. You keep the overview. Every registration and every message sent sits in your own admin as usual, and your inbox gets quieter for it.
