Why dedicated planning software

A Google calendar doesn't know your course catalogue.

A training provider's planning isn't about loose appointments. It's about sessions that need 20 participants, a qualified instructor, a suitable room and the right course duration. A generic calendar can't do that: it doesn't know that Erik isn't allowed to teach VCA, that the main room is rented out on Tuesday mornings, or that a BHV Basic takes four hours and the team leader course won't fit afterwards.

Trainiq's planner knows every qualification, every room capacity and every course duration. Drop a new session on the week and the system checks whether the instructor is free, the room fits and nothing clashes, before you click 'Save'. A double booking doesn't get through.

How Trainiq's planner handles venues, instructors and sessions.

Does the planner handle several venues and rooms at once? +

Yes. Venues and rooms are separate things: every venue has one or more rooms, each with its own capacity. When you create a session you pick a venue plus a specific room, or let the system pick the smallest free room that fits. The planner shows per day which rooms are free and which are already taken at a given time.

Does the system prevent double bookings for the same instructor? +

Yes. For every new session Trainiq checks three layers: the instructor's weekly availability pattern (which days they work), any absence (holiday, illness), and existing sessions in the same time slot. If there is a conflict you see it straight away in the instructor picker, with the option to move the session to another time or choose another available instructor.

Can I plan in-company sessions without a fixed venue? +

Yes. In-company sessions are a separate session type, without a venue or room. The training takes place at the client company's address, and that address goes automatically onto the instructor's screen and into the confirmation e-mail for participants. When you plan an in-company session, only instructor availability is checked, not room availability.

Can I move a session without losing participants? +

Yes. When you move a session you can move all registered participants along in one click to the new date and time. Trainiq automatically sends a rescheduling e-mail with the new details and a new QR code. Participants who can't make the new date can reschedule or cancel from their portal, depending on your cancellation terms.
