AI for course planning:
how to know what needs attention
A planner at a training provider opens six different screens in the morning to check what needs attention. Planning, payments, client-company compliance, mailbox, instructor schedule, outstanding invoices. By the end of the first coffee you still don't know where to start. This guide describes how Trainiq's new feature Today's priorities summarises that morning, and how it stays GDPR-compliant.
The problem: triage costs more than the action itself
On a weekday morning, a training provider has dozens of action points spread across their systems. A session next week still has no instructor. A few participants have been sitting in ‘payment open’ for a while. An employee at a client company has a BHV certificate (Dutch in-house emergency response) that expires soon. A session tomorrow has only a few places filled and is well on its way to being cancelled.
None of these points is big on its own. Together they form the background noise that makes the planner's morning so predictably exhausting. What an experienced planner is really good at is filtering: knowing which three of the eighty points genuinely need attention today, and which can wait.
AI is good at ranking, not at deciding. Let the software pick the top 5 from all the deterministic signals, and let the planner choose what to do per item with one click.
How Today's priorities works
Every morning Trainiq scans your planning, client companies and payments for four kinds of attention signals. The raw list (often dozens of points) is ranked by urgency by an AI layer and turned into one short sentence per item. The top 5 appears on your dashboard, with one click per item to deal with it straight away. No switching tabs, no searching.
| Detector | What it flags | One-click action |
|---|---|---|
| Under-booked session | Scheduled session with too few places filled | Move, merge or accept |
| Session without an instructor | Scheduled session with no instructor assigned | Picker with qualified, available instructors |
| Outstanding payment | Booking that has been in ‘payment open’ too long | Send a reminder or cancel with a credit note |
| Client-company compliance | Client company with expired or nearly expired certificates | Renewal dialog: schedule a batch for several employees |
What the AI layer does is deliberately limited: rank by urgency and write the sentence. What the detection does (which sessions, which payments, which client companies) is fully deterministic: plain database queries on the facts in your environment. That keeps the outcome predictable and reproducible. The same data leads to the same top 5.
One dialog per type of action
The value is in what happens after the click. A list is nice, but if the planner still has to visit six pages to resolve each point, nothing changes. So every briefing item opens an action-specific dialog that puts all the relevant context in one view.
Click a session without an instructor and you get a list of qualified instructors sorted by availability. Each unavailable line says why: on holiday, ill, or already teaching another course at that time. One click on the right one, ‘Assign’, done. Click an under-booked session and you get three options on one screen: move participants to another session of the same course, accept it as deliberately under-filled, or cancel with an automatic refund calculation.
GDPR-compliant: how AI works here without a data risk
AI combined with personal data is risky. For a feature that reports on your planning, client companies and payments, it's tempting to feed full records to a model and let it write the sentence. Trainiq does it differently.
The AI layer only sees aggregated facts: counts, dates, categories, opaque tokens (for example P42 for client company #42). No names, no email addresses, no phone numbers, no citizen service numbers. The names you see on the final card (client company X, participant Y) are added locally in your environment, after the AI call, so they never leave your system. Input to the help chat also passes a local PII filter first; if anything is detected, the request is refused before it is sent.
On top of that, processing stays within the EU, the provider does not train on your input and only keeps requests for as long as it takes to answer them. This is laid down in the standard data processing agreement every training provider signs with Trainiq. Processors and sub-processors are listed in a public sub-processor overview.
The AI sees numbers and categories, not people. Names are added locally after the AI call. Processing stays within the EU. No model training on your data.
Frequently asked questions
Does the AI make decisions for my planner?
No. The AI ranks and reports; the planner decides and clicks. Every briefing item opens a dialog in which the planner chooses which action to take. This deliberately stays outside the scope of automated decision-making (Art. 22 GDPR).
What if I want to ignore a briefing item on purpose?
For under-booked sessions you can explicitly choose ‘accept under-booking’, useful for smaller regional sessions where you deliberately run below capacity. The item disappears from the card immediately and doesn't come back on following mornings.
Does an action point disappear after the click?
Yes, immediately. Trainiq checks on every page render whether a briefing item is still relevant. Just assigned an instructor? The item disappears without you having to wait for the next regeneration.
What if I don't want to use AI?
The feature can be switched on and off per training provider. Trainiq works fine without the AI layer; you only lose the summarising ranking. The underlying detectors keep working through the existing planning, invoice and compliance views.
In short
Today's priorities is a thin AI layer on top of deterministic detection. Not a gimmick, not a chatbot. Your existing data is ranked automatically, in one sentence per item, with one click to act on it. Request a free demo and we'll show you how it works on your real data.
